Vehicle file
The complete vehicle file — instead of 18 folders on a shelf
The vehicle file is the hub of MobilityManager: every other module writes back into it. A refuelling, a service, a traffic fine or a damage case shows up in the right tab automatically — nothing is maintained twice. The vehicle lifecycle is modelled explicitly: planned, in service and retired are distinct states with distinct rules.
Bookings & pool vehicles
Employees book themselves. Fleet management stays in control.
The booking module replaces key-cabinet lists, shared Outlook calendars and shouting across the office. Bookings run a complete status chain, approvals are switchable per tenant, and the system can pick the vehicle itself — balancing utilization or minimizing cost.
Driving licence control
The operator duty that counts when it matters
Each driver carries licence classes, validity periods, restriction codes and — for professional drivers — the qualification record. The system reminds before expiry, runs the recurring check through a review queue, and can block bookings of vehicles whose required class is missing.
Traffic fines
Hearing deadlines run. Even while you are on holiday.
A penalty notice is not a letter, it is a case with a clock. The module computes deadlines, escalates automatically when they are about to slip, and documents the driver nomination so it can be evidenced later. Multiple notices can be imported instead of retyped.
Receipt management
Receipts that do not make the auditor nervous
Rules have severities: an info note informs, a warning can be passed with a justified override, a blocker prevents the next step. Review stays strict where it must be and workable where it cannot be. Every override is logged with its justification.

The cockpit does not recalculate, it consolidates: it pulls costs from the modules where they arise anyway. So the figures in the cockpit always agree with the underlying records — and every number stays traceable back to its originating case.

German employers must verify driver licenses at least every 6 months under §21 StVG. MobilityManager will include a full compliance module: manual 4-eyes check logging, remote smartphone photo submission, automatic deadline tracking, GDPR-compliant consent flow, and audit-proof PDF export for inspections.
